The problem

Example client brief

I am on a roof when the phone rings. By the time I call back they have booked someone else. I know I should ask for reviews but I forget. I have no idea how many leads I get a month or where they come from.

Designed outcome

A one-truck HVAC company that never misses a lead and never chases a review by hand.

The demonstration business

The company is fictional. The example follows a one-truck HVAC business from a missed call through booking and job follow-up.

What the workflow does

  1. A GoHighLevel phone number uses A2P registration under the operator's brand. The sending subdomain is configured with SPF, DKIM, and DMARC, with a sending warm-up schedule.
  2. A missed call triggers a text-back with a booking link.
  3. The booking calendar connects to Google Calendar in both directions. Confirmations and reminders follow the appointment state.
  4. An unbooked-lead sequence pauses when a customer replies. Opt-outs end follow-up and update the contact record.
  5. A completed job starts a review request. A reply pauses the automation for a person to handle. Review invitations do not depend on a customer giving positive feedback.
  6. An after-hours Voice AI receptionist takes a message and offers booking where the calendar and rules allow it.
  7. WhatsApp provides a second inbound channel through the configured account.
  8. The owner dashboard shows leads by source, booked rate, review count, and response time.

Handover boundary

Workflows stay native to GoHighLevel. Phone, messaging, and channel setup are part of the scope. A copied snapshot does not transfer registration approvals or guarantee message delivery.

Failure handling

When it breaks

A customer replies “stop” during follow-up.

The sequence ends and the contact is marked opted out. A marketing email does not bypass the opt-out.

A customer asks a question during the review sequence.

The review request pauses and the owner gets the conversation. Follow-up resumes only after the conversation is handled.

An SMS fails to deliver.

The owner sees the failed delivery and the flagged number. Email is used only when a valid address and permission for that message are present.
